Guidelines for

Williams-Norris-Padgett-Jennings Family (WNPJ)

(It’s A Family Affair)

All WNPJ family members up to and including all committees members should read and familiarize themselves with these guidelines. These guidelines in conjunction with the Bylaws shall be used to govern the WNPJ Family.

• Bylaws: - It is a requirement for each newly elected EC committee member to read the Bylaws and read them with understanding (before taking office). Once the Bylaws are read if there is anything that anyone do not understand they should ask question until they fully understand them (the Bylaws).
• Committees: - Based on the Bylaws every 4 years the Executive Committee (EC) comes up for election/re-election. After the election one of the first orders of business should be for the EC along with family members to review all committees that are currently active at that time. Once the review is complete, it should be voted by the EC along with the family for which committees should remain and which ones should be removed and or adjusted. For all committees that are going to remain and or be adjusted the EC should then contact all members of each committee that are going to remain to see if they are still interested in serving.
• WNPJ Logo The WNPJ logo should appear on all reunion registration forms, the newsletter and on the front of the reunion T-Shirt. See below for the current family logo:

• Raffle/Auction Monies: - Since the reunion is held every 2 years and the $5.00 for the Gift Fund usually is not enough to cover the Gift Fund for 2 years. All proceeds from raffles/auctions, etc. raised at the reunion, these funds should go 100% to the Gift Fund.
• Education Gift: - The Education Gift for graduating High School Seniors who will be pursing higher learning by attending a Trade School, College or  University upon graduation from High School, you may qualify. The warded gift is $250.00 per.
• Documentation: All records to include secretary reports should be kept in a unique place where they are accessible for future references (or some kind of repository if possible). Sometimes processes have been talked about, tried, and or decisions have been made and we might need to look back on them to refresh our memories.
• Budget: A budget must be created on July 1 of each year to run through June 30th of the following year.  
• Audit Committee: An audit on all accounts should be performed every (4) years.  
• Reunion Closing Statement: When the reunion closing statement is presented to the committee, if it is an election year and there is a new Chairperson, the outgoing Chairperson should be included on the distribution of the closing statement.     
• Rgistration/"T" Shirt Fees: - Until the family agrees on new registration fees, they will remain the same as below. The "T" Shirts fees will remain as below until such time   an agreement is reached or until such time that the price to purchase the shirts go up so much that it is a necessity to make an adjustment, the fees will remain as follows:

       70-79 @ $55.00*  

There is a built in $5.00 from each paying person on the registration form (with the exception of the ages "0-2 / 80 & UP" which are free). That $5.00 will go to the Gift Funds (the $5.00 must be taken off the top before any calculations for the closing statement is done).
